Overview of new phone system -
 

We are in the process of migrating to a new Voice over IP (VoIP) phone system. We are scheduled to replace the existing system this Saturday, August 17.  This major change will bring a number of new features for our staff.  Some of which include the ability for users to access and manage their extension from anywhere via a user friendly web phone portal.  You will also have an option to utilize your office phone from a web browser as well as from a mobile app. This will be especially handy when working remotely or needing to place a work call from outside of your campus office.

We have placed a group of Phone Documents on the https://my.sussex.edu College Portal under the Staff and Faculty Email link at the left of the main page – you do not need to log into the Portal to access these documents.

Change your PIN - To change your Voicemail password (important):

  • You can do it anytime by utilizing a web portal or after a new phone is placed on your desk, directly from your new phone.  By default, your voicemail password/PIN is: 2580.
  • Phone Document "SCCC - How to login to the phone system" will guide you on how to log in to the phone portal and "SCCC - Voicemail PIN change"  will show you how to utilize 2 methods to change your voicemail password.

MFA - We highly recommend setting up MFA (Multi-factor Authentication) for your extension account utilizing Microsoft Authenticator (The same app used for our college email.) This will add a layer of security and mitigate the possibility of unauthorized parties accessing and hijacking your extension. To do it, first you have to log in to your phone portal by following Phone Document "SCCC - How to login to the phone system" and then follow the Phone Document "SCCC - Set up MFA to protect your extension" guide to set up MFA.

Using your PC to make calls - Once you have logged in to the phone portal, changed the voicemail PIN, and set up MFA, you can use a web phone with the Chrome browser to make outside calls or calls to peers who already have their extension or web phone enabled. A microphone and speaker are required – the good news is that the new "all-in-one" workstations and laptops have them. Using the Mobile App - Another feature you have available is a mobile app that will link to your extension - this is beneficial if you are away from your office phone or a web phone (for example working from home). It allows you to dial extensions and outside numbers from your mobile device as well as receive calls via the app directed to your office number - for the person receiving the call, it will appear as if you are making a call from your office phone. Dialing out via app will announce your office number as a caller ID - now you don't need to give out or announce your personal cell phone number when making work related calls while being away from your office phone. Think of it as having an extension "on the go."  Refer to Phone Document “SCCC – GoVoip Set up”

Your new Office Phone - As part of the migration, we will be replacing all the physical office phones. To ease the transition to the new office phones, two Phone Document guides are  "SCCC - SIP-T54W Phone overview" and "SCCC - Guide on office phone features" that go over the phone layout and cover helpful features such as parking a call or transferring it to another extension. 

SSO - If you prefer to utilize a Single Sign-On (SSO) to use your current Microsoft credential, refer to Phone Document guide for it as well titled "SCCC - How to enroll and log in using single sign-on." SSO will use your college email credentials as the login for this system. If you opt to do it, we still recommend enabling MFA for the extension for your extension credentials.

Speed Dial - If you currently have speed dials set up on your phone or would like to start using them (numbers you frequently dial), please email the IT department (itservice@sussex.edu) with the subject "Speed dial set up". In the email include your current extension, numbers and labels or just an extension (if it is another staff member you frequently dial) for the speed dial, for example:

Speed dial: 973-123-4567, John Doe

Speed dial: extension 2999
